Privacy policy

Last updated October 16, 2026

This policy covers DOCK2BILL, operated by EX EME LTDA, São Paulo, SP, Brazil. It explains what we collect, why, and what we do not do.

What we collect

About you, our customer

  • Your name, email address and the name of your business.
  • Your password, stored only as a one-way hash. We cannot read it.
  • Your time zone, so the product acts at the right hour, and the campaign parameters that were in the link you arrived from, so we know which ad worked.
  • Billing details, held by Paddle.com, our reseller and merchant of record. We never see or store card numbers.

If you visit our website

We count visits to our pages and which link brought you to them — for example, one of our emails or the footer of a billing packet. We do this with cookies on our own domain that hold a random ID for your browser and the campaign or referral code from that link. There are no third-party trackers or advertising cookies on our website, and we do not know who you are unless you create an account or give us your email address. The product video on our home page plays from YouTube’s privacy-enhanced mode; if you press play, Google’s privacy policy covers what YouTube collects.

If you use the detention calculator

The calculator does its math in your browser: nothing you type reaches us until you ask for the invoice by email. Then we receive the times, rate or fee you entered, your email address, and the company, load number and broker if you add them. We use them to make the PDF and email it to you, and we keep a record of that email with a copy of the PDF, as we do for every email we send. We keep your email address and company name on a list to send you, now and then, tips on getting detention paid. Every one of those emails has an unsubscribe link, and unsubscribing deletes your email from that list.

About the people you deal with

DOCK2BILL handles information about your loads, your customers and your drivers, because that is what the product is for:

  • Your loads — reference, customer, driver and amount, the delivery documents your drivers photograph, and the billing email you send packets to. Drivers upload through a one-load link: they do not create an account, and we keep only the name and phone number you entered for them.
  • Your truck ELD — if you connect your ELD (Motive or Samsara) with an API key you create, we draw a circle around each stop address in your ELD account and read only when the truck entered and left each stop — never its route. To place the circle, the stop address (never a person) goes to the U.S. Census Bureau geocoder. If you upload an ELD report instead, we keep only the rows near that stop. Your API key is stored encrypted and never shown again.

This information belongs to you. We process it to run the product for you and for nothing else, with one exception, described next.

Aggregated statistics about brokers and shippers

We combine billing outcomes from many accounts — documents requested, rejections and their reasons, days to payment, share of detention and TONU paid — into de-identified statistics about brokers and shippers. They never name a carrier, a driver or a contact person, they are shown only when they rest on records from several different carriers, and they never include a freight rate. The full rule is in the terms of service.

If you are a driver

The carrier you drive for added your name and mobile number to DOCK2BILL. Through the one-load link, we also receive the documents you send and the times you tap “I’m here” and “Leaving now”. That is all:

  • We do not follow your location and we do not create an account for you. If the carrier connects the truck’s ELD (Motive or Samsara), we read only when the truck entered and left each stop of its loads — never its route.
  • The times you tap are recorded by our server and kept exactly as tapped — nobody can change them afterwards. If the carrier corrects a time for billing, your original tap stays on file next to it. They are the proof used to bill the wait.
  • Your name and number are used by that carrier to reach you about its loads. They are never sold and never appear in any statistic. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with subcontractors that support the service, such as the provider that delivers the texts. Text messaging originator opt-in data and consent will not be shared with any third parties.
  • To see, correct or delete what is held about you, ask the carrier, or write to us at the address below.

What we do not do

  • We do not sell your data, or your customers’ data, to anyone.
  • We do not use your content to train AI models.
  • We do not run third-party advertising trackers inside the application.

Who we share it with

Only the services needed to make the product work, and only the part each one needs:

ServiceWhat it receives
Payment providerYour email and billing details, to charge you
Email providerRecipient address and message content, to deliver it
SMS providerRecipient number and message content, to deliver it
AI providerThe photo or document being read — for that single request. It is not retained for training.
U.S. Census Bureau geocoder (if you connect an ELD)The stop address, to place the circle around it — no names or numbers
Your ELD provider (if you connect it)The circle around each stop; we read back only the times the truck entered and left it
Hosting and storageThe data at rest, encrypted in transit

Text messages

Messages are sent from a verified number or a registered campaign, as US carriers require. Anyone can reply STOP to any message from us and they are removed immediately, with no further messages of any kind. Replying HELP returns contact information. Message and data rates may apply. The full program terms are on the SMS terms page.

If you add a driver’s mobile number to DOCK2BILL, you are telling us the driver agreed to receive texts from you about their loads. That consent is yours to obtain and yours to be able to show.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with subcontractors that support the service, such as the provider that delivers the texts. Text messaging originator opt-in data and consent will not be shared with any third parties. Mobile numbers are never sold or rented.

How long we keep it

  • While your account is open, we keep your data so the product works.
  • After you close your account, we delete your content within 90 days, except records we have to keep for accounting and tax.
  • Audit records — when a document arrived, when a driver tapped, which packet or reminder went out — are kept for the life of the account, because their whole purpose is to answer a question later.

Your rights

You can ask for a copy of your data, ask us to correct it, or ask us to delete it. Write to fabio@dock2bill.com and we answer within 30 days. If you are in a place with specific privacy law — California, the EU, Brazil — those rights apply to you and we honour them without asking you to prove where you live.

Security

  • Passwords are hashed, never stored in a readable form.
  • Access tokens for third-party services are encrypted before they reach our database, with a key that lives outside it.
  • Data is encrypted in transit.
  • Every account’s data is isolated; one account cannot read another’s.

If we ever discover a breach affecting your data, we will tell you what happened and what we did, within 72 hours of confirming it.

Children

DOCK2BILL is a business tool. It is not for anyone under 18.

Changes

If we change this policy in a way that matters, we email you before it takes effect. The date at the top always tells you which version you are reading.
